Seasonal Administration Support & Scheduler

We require several people to join our team for the kiwifruit maturity-testing season to provide Admin Support for the Field Collection team and to schedule field Sample Collectors for the following day’s activity. This role is primarily based from our office in Mount Maunganui, Bay of Plenty, but the scheduling / assigning part of the role may be able to be completed from home. All training will be provided.


This role is for a Fixed term period from Mid Feb to May and provides support to our Team Leaders and Field Collection Staff. 

The role encompasses various duties from remotely assisting field-based Samplers, managing supplies to Field Staff and validating Samplers’ collection path, to being responsible for monitoring the lone worker portal.The scheduling element of the role is critical in optimising efficiency of samplers and is both challenging and satisfying. When scheduling / assigning, Zespri will allocate samples to Hills around 5pm for collection the following day; you will work with the Field Team Leaders to ensure that sample collectors are effectively rostered, advised and confirmed for the following morning's sample collection work. 

The role must be able to work on a rostered basis in a business that operates 7 days a week. Daily hours will vary depending on sample demand, however it is expected that this will be 10-12 hours daily, possibly split between the office and home. Shifts are expected to run from around 6.30am-3pm with an additional 2-3 hours work in the early evening. A roster pattern will be developed in consultation with the successful candidates, this could be 2 on / 2 off or 4 on / 4 off for example. The hours of assigning will depend on allocated sample volumes, Zespri allocation time and any issues with assigning and rostering.


Admin Support

  • Provide office based support for all Field based Samplers and Team Leaders including call support, navigation and general information with sample details and contacts
  • Monitor Lone worker Portal and action and escalate alarms
  • Monitor sampler progress and facilitate additional sample allocation on the day
  • Roster and organise Sample Collection Drivers (runners) daily
  • Monitor Vehicle tracking system for exceptions
  • Facilitate the delivery of supplies to samplers
  • Assist with general H&S administration and communication
  • Monitor sample drops and pickups to account or all samples dropped and delivered
  • Monitor progress of collections drivers / runners and provide ETA’s to the lab
  • Assist Team Leaders and Managers with general admin
  • Assist with all general communications between samplers, Team Leaders, managers and Stakeholders
  • All other office based duties as required


  • Receive sample collection plan for the following day and work with the field team leaders to effectively roster to ensure that this work is completed
  • Assign samples to Sample Collectors with consideration of geographical distribution of samples and sampler availability and hours worked
  • Call / text Sample Collectors to advise of work, and confirm their acceptance and availability
  • Provide all necessary information for the Sample Collector to be able to complete their role
  • Ensure that Sample Collectors have an efficient and logical route
  • Monitor and escalate where there are areas of the roster that cannot be filled
  • Ensure that roster is accurately recorded and display a high level of attention to detail


  • Confident communicator, especially over the phone
  • Strong ability with logistics and scheduling
  • Strong ability to problem solve; previous rostering experience desirable
  • Strong organisational skills and time management
  • Able to be flexible with hours of work to meet the business needs - recognise that there will be peaks and troughs throughout the season
  • Able to commit to the role for the duration of the kiwifruit maturity testing season (Feb - June) 
  • Tech savvy - comfortable with use of computers and apps, and quick to learn new systems
  • Knowledgeable with the following geographical regions and approximate travel times (Waikato, Auckland, Franklin, Coromandel, Bay of Plenty) or able to quickly learn these
  • Able to work under time constraints to meet operational needs
  • A positive can do attitude, comfortable working alone but also part of a team
